The full time Exhibits Manager will split their time between coordinating exhibits for the Rare Books, Special Collections and Preservation Department (RBSCP) and coordinating exhibits and programs for the River Campus Libraries.   In RBSCP, the Exhibits Manager will work with RBSCP curators in highlighting the collections of Rare Books, Special Collections and Preservation Department through exhibits, both physical and digital. The Manager will collaborate with RBSCP librarians, students, faculty, and subject librarians in the creation and curation of exhibits.    The Exhibits Manager will have oversight for creation of digital exhibits and content for digital signage. The position will report to Director of the Rare Books, Special Collections and Preservation Department.

Responsibilities Include:

  • Project management for all in-house physical and online exhibits
  • Research exhibit topics and potential themes in consultation with curators
  • Collaborate with curators, students, and faculty on exhibit design
  • Create custom supports in consultation with Conservator
  • Design signage (including postcards, when appropriate)
  • Scan and create digital surrogates
  • Develop and manage Department’s exhibit schedule
  • Create and/or edit exhibit labels in consultation with curators
  • Update Department and Library websites to publicize exhibits
  • Organize and plan exhibit launch events

River Campus Libraries Exhibits Manager Responsibilities:

  • Prepare and implement Library lobby displays in collaboration with Library staff, students, and faculty
  • Collaborate with staff from the subject libraries to develop exhibit themes, create labels, signage and install their displays
  • Consult on selection of exhibit materials with librarians and curators
  • Work with Library administration and building manager to increase aesthetics of public spaces

REQUIRED QUALIFICATIONS:

  • Degree in graphic design, museum studies or equivalent experience
  • Ability to build custom supports
  • Experience in working in a highly collaborative environment
  • Evidence of innovation, creativity, and resourcefulness
  • Outstanding written and oral communications, interpersonal, and team skills
  • Experience with Adobe Photoshop, Adobe Indesign, Adobe Illustrator or equivalent editing programs
  • Ability to handle loaded book carts and lift boxes of books.

PREFERRED QUALIFICATIONS:

  • Experience creating, installing, and promoting exhibits of unique materials
  • Knowledge of best practices in handling and displaying rare and fragile materials
  • Experience with virtual exhibition development and incorporation of multimedia into virtual and physical exhibitions
  • Experience with HTML, CSS and content management systems

The Libraries, the University, and the Area

The Department of Rare Books, Special Collections and Preservation contains more than 100,000 books and 400 manuscript collections in addition to several thousand individual manuscript items such as letters, diaries, and account books. The Local History collection contains materials that represent the history of Rochester and upstate New York in books, manuscripts, prints, photographs, and maps.  The Department also consists of the University Archives and the Preservation Department.   The University Archives contain printed and manuscript records that document the University’s history since its founding in 1850. The Preservation Program integrates a variety of preservation activities including physical conservation, disaster preparedness planning and response, reformatting, grant project development and management, collection management projects and environmental monitoring. Position Summary: The University at Buffalo Libraries seek an energetic professional to serve as Processing Archivist to appraise, arrange, and describe institutional, faculty, and manuscript collections in the University Archives.

University Archives supports the teaching, research, and service missions of the university by acquiring, organizing, and promoting the use of these unique archival collections. Part of the University Libraries’ Special Collections area, University Archives is the most extensive in the SUNY system and holds records dating to the university’s founding as a private institution in 1846. Collections in University Archives document all areas of the university including the establishment and activities of twelve colleges and professional schools and the construction of a new campus beginning in the 1970s. There are nearly 6,000 linear feet of records in University Archives in over 1,900 discrete collections. There are also extensive holdings of university and student publications, audio and video recordings, tens of thousands of photographic prints and negatives, as well as posters and other ephemera.

University Archives also collects non-literary manuscript collections. Included in the more than 200 collections are the Frank Lloyd Wright/Darwin D. Martin Collection, which documents the relationship between a major architect and client; the definitive body of records and other material on the Love Canal environmental disaster; extensive holdings on social activism and women’s history in Western New York; and a rapidly-expanding group of collections documenting the history and activities of the Jewish community in Buffalo and Western New York since the second decade of the 19th century.

Under the supervision of the University Archivist, the Processing Archivist appraises, arranges, and describes institutional, faculty, and manuscript collections in the University Archives according to local and national best practices. She/he develops collection processing plans, including determining the level of description at which to process. The incumbent will oversee finding aids maintenance (additions, updates, linking to catalog records, and digital collections). The Processing Archivist hires, trains, supervises, and assigns tasks to student assistant(s), specifically in the processing of archival and manuscript collections. She/he participates in monitoring patrons in the Special Collections Research Room and provides reference service and instruction on the handling of rare and archival material. Other duties may be assigned, including developing and creating exhibits showcasing collection material, participating in library instruction sessions, outreach activities, and supervision of interns.

The Processing Archivist is expected to participate in local, regional, and national professional organizations, and represent Special Collections on library committees, task forces, etc., as needed and appropriate.

Position Summary: The University at Buffalo Libraries seek an energetic professional to serve as Processing Archivist to appraise, arrange, and describe literary and manuscript collections in the Poetry Collection.

Within the UB Libraries’ Special Collections, the Poetry Collection is contemporary poetry’s library of record, comprehensive in its holdings of first editions of poetry published in English in the 20th and 21st centuries. The collection includes little literary magazines, important 20th-century presses, and more than 150 manuscript collections, including the world’s largest archive of James Joyce manuscripts and the archives of Robert Graves, Theodore Enslin, Robert Duncan, John Logan, Helen Adam, Robert Kelly, John Montague, Michael Palmer, William Carlos Williams, Basil Bunting, Dylan Thomas, and Wyndham Lewis. The collection also serves as a regional repository for literary presses, literary magazines, literary arts organizations, and archives of the progressive art galleries of Western New York. Additionally, there are substantial holdings of photographs, audio and visual materials, mail art, and visual and concrete poetry.

Under the supervision of the Poetry Collection Associate Curator, the Processing Archivist appraises, arranges, and describes modern and contemporary literary and organizational manuscripts and multimedia in the Poetry Collection according to local and national best practices. She/he will work closely with collection curators on the analysis, documentation strategy, and level of description for Poetry collections, combining extensive subject knowledge of 20th-century poetry and literature with technical expertise. The incumbent will oversee finding aids maintenance and retrospective conversion of legacy records for the department. The Processing Archivist hires, trains, supervises, and assigns tasks to student assistant(s), specifically in the processing of archival and manuscript collections. She/he participates in monitoring patrons in the Special Collections Research Room, and provides reference service and instruction on the handling of rare and archival material. Other duties may be assigned, including developing and creating exhibits showcasing collection material, participating in library instruction sessions, outreach activities, and supervision of interns.

The Processing Archivist is expected to participate in local, regional, and national professional organizations, and represent Special Collections on library committees, task forces, etc., as needed and as appropriate.

2013 NY Archives Conference

Registration for the 2013 New York Archives Conference is open.

The New York Archives Conference (NYAC) 2013 annual meeting will be held at LIU Post Campus of Long Island University in Brookville, NY on Wednesday, June 5 through Friday, June 7, 2013. This year’s conference will be a joint meeting with the Archivists Round Table of Metropolitan NY, Inc., (ART) and will be co-sponsored by the Palmer School of Library and Information Science at LIU Post Campus. Online registration is now open.

The deadline to apply for a Professional Development Grant has been extended to 5pm on April 29th.

Music Library Association Meeting in Syracuse

The annual meeting of the New York State/Ontario chapter of the Music Library Association will be held on Friday, October 12, 2012 at Syracuse University in Syracuse, NY.

The program (PDF) includes presentations on the Belfer Audio Archive at Syracuse University, audio preservation and the care of historic audio recordings, member presentations, a hot topics session, and a NYS/O-MLA business meeting.

SUNY Buffalo – University Archivist

Job Description – University Archivist (#1200265)

POSITION SUMMARY:
The Archivist manages the day-to-day activities of the University Archives, including supervision of staff and student assistants. He/she builds and manages university archives record groups and unit-related digital collections, historical manuscript collections, as well as non-literary rare book holdings and applies and promulgates standards and best practices in providing access to archival and manuscript collections through finding aids, catalog records, and other descriptive means. The incumbent provides hands-on support for the arrangement and description of archival and manuscript collections and provides reference, consultation, and instruction services related to University Archives collections. The Archivist develops methods for maintaining and tracking statistical records of unit operations and use of collections, actively engages in outreach to promote the use of the collections, particularly student use of primary source materials. He/she creates and coordinates exhibitions, public programs, and publications that promote the university and the use of the University Archives and pursues grant funding and development opportunities to support University Archives activities.

The incumbent serves as records manager for the University Libraries and participates in campus-wide records management activities and compliance. The Archivist facilitates effective working relationships and works collaboratively within the library, across campus, and with external agencies. The incumbent pursues professional development opportunities including research, publication, and professional association activities, to meet library-wide and University criteria for tenure.

REQUIRED QUALIFICATIONS:

  • Master’s degree in library and information science from an ALA-accredited program, with a concentration in Archives Management; equivalent training and experience may be substituted for the concentration in Archives Management
  • A minimum of five years’ experience in a professional position in an archives or manuscript repository
  • Demonstrated mastery of current archival practice, and knowledge of developing trends in the field including electronic records management and management of born-digital material
  • Experience with archival database applications, web-based technologies, digitization technologies and standards, and metadata standards (specifically DACS, MARC, and EAD)
  • Ability to conceptualize and plan content for selective digitization of archival materials
  • Experience with exhibit development and design
  • Demonstrated skills in management and leadership, including written and oral communication, project management, and planning
  • Demonstrated ability to work independently, collaboratively, and effectively with diverse groups of faculty, students, staff, and the general public
  • Ability to guide the work of others
  • Experience with donor relations
  • Commitment to ongoing professional development and evidence of professional scholarly interests and potential to meet the University at Buffalo’s promotion and tenure standards in librarianship, research, service, and outreach

PREFERRED QUALIFICATIONS:

  • Certification by the Academy of Certified Archivists (ACA)
  • Grant writing experience

Colgate University – Assistant Archivist

Job Description – Assistant Archivist

POSITION SUMMARY:
Reporting to the Head of Special Collections and University Archivist, the Assistant Archivist accessions, arranges, describes and preserves the records of the university and other related collections. The Assistant Archivist also participates in records management activities for university records, including the management of electronic records. In collaboration with other members of the library’s Digital Commons team, she or he acquires content for the university’s institutional repository and creates or revises policies and submission procedures. The Assistant Archivist supervises the student workers and manages the department’s reading room. She or he provides reference services to members of the Colgate community and other researchers and manages reproduction requests. In addition to supporting the department’s general instructional and outreach programs, the Assistant Archivist works closely with the Head of Special Collections and University Archivist to support research being conducted in classes and for the university’s bicentennial celebrations.

QUALIFICATIONS:
Required:

  • Master’s Degree in Library or Information Science from an ALA-accredited institution with a focus in archival studies
  • Successful demonstrable experience in archival processing
  • Demonstrated understanding of the principles of arrangement and description of archival collections and knowledge of archival best practices
  • Working knowledge of current metadata and descriptive standards, including DACS and EAD
  • Knowledge of preservation standards and best practices
  • Strong organizational skills and written and oral communication skills
  • Excellent computer and technical skills
  • Ability to work independently and collaboratively
  • Ability to work a schedule which includes some evening, weekend, and holiday hours.
