Job Description: The Library Bibliographic Assistant position is responsible for a range of duties related to the processing of library materials acquired through both gift and direct orders. The incumbent provides excellent service and support to Library staff and users by providing accurate bibliographic access and control to the Libraries’ collections. Communicating effectively with all Library departments and the ability to work independently without day-to-day supervision and to function effectively in a flexible team setting are requirements of this position. The position reports to the Director of Technical Services with the Dean of Libraries as the second line supervisor.

Duties and Responsibilities include:

  • Copy cataloging of materials, in all formats, using national and local standards and practices, with emphasis on the cataloging of gift materials and maps. Upgrades records to national standards when they are determined to be nonstandard. Determines and applies the proper authorized headings for names and subjects in bibliographic records. Materials may be in English or non-English languages.
  • Searching databases for information regarding gift items, making determinations of possible usage. Writes brief descriptions of materials when appropriate.
  • Assists with preparation of print materials including preparing items for binding or re-binding.
  • Performs general database maintenance projects in our online cataloging system including adding volumes or copies, and transferring and withdrawing items from the Libraries’ collections.


  • Bachelor’s degree required.
  • Also required are: demonstrated organizational, analytical, and problem-solving skills;
  • a high attention to detail and accuracy as shown through previous work history;
  • working knowledge of a non-English language, and the ability to follow standards.
  • Demonstrated initiative and ability to work and make decisions independently and as a team member, as well as excellent communication skills are required.

Preferred qualifications include:
Demonstrated knowledge of standard cataloging tools and techniques (including AACR2/RDA/Dublin Core, LCSH, MARC), experience with an automated library management system.

To accomplish daily routines, the incumbent may need to lift and carry loads of books (10-20 lbs.), push heavy book trucks, use ladders, bend and stretch to reach high and low shelves, and be able to spend periods of time at a computer.
